Business contacts and outreach privacy notice
This section explains how PRO | ORA (a trading name of Pro Era Ltd, registered in England and Wales, company no. 15663823, registered office 2 Cuddington Court, The Green, Aylesbury, Bucks HP18 0DT) uses information about people we contact for business purposes. That includes staff at schools, parent and friends associations, gyms, clubs, retailers and media outlets.
We are registered with the Information Commissioner's Office (ICO) as a data controller, registration number ZC272376.
What we use it for
We use it to contact organisations about partnerships with PRO | ORA, such as a school sport fund partnership or a stockist or media enquiry, to follow up, to record replies, and to make sure we don't contact anyone who has asked us not to.
Our lawful basis
We rely on our legitimate interests in promoting PRO | ORA to relevant organisations (UK GDPR Article 6(1)(f)). We have assessed that these interests don't override your rights, because we only use work contact details that an organisation publishes for enquiries, we only contact people whose role is relevant, and we send only a small number of emails. You can ask us for a summary of that assessment.
Where we get it
From publicly available sources, such as an organisation's own website (for example a school's or association's contact or staff page), public directories and business listings. Our first email tells you where we found your address.
What we hold
Your name and role (where published), your work email address, the organisation's name, the public page where we found your details, notes relevant to the enquiry, and a record of the emails we have sent and any reply or opt-out. We don't collect personal email addresses of parents or volunteers, and we never collect information about pupils.
Who we share it with
We don't sell or share it. It is stored with service providers who act on our instructions, such as our email and business software providers, some of whom may process data outside the UK under appropriate safeguards.
How long we keep it
If we don't start working together, we delete your details 12 months after our last contact. We keep only a minimal record (your email address and the fact that you opted out) for as long as needed to make sure we never contact you again. If we do work together, we keep what's needed for the partnership and for our legal and accounting records.
Your right to object and other rights
You can object to our use of your details for marketing at any time, and we'll stop. Just reply to any of our emails or write to the address below. You also have the right to access, correct or delete your information, or to restrict how we use it. If you're unhappy with how we've handled your information, please tell us. You can also complain to the Information Commissioner's Office (ico.org.uk).
